Role description

The Center of Excellence - Legal and Public Affairs Services team is looking for a senior business operations professional to support the Strategy and Business Operations team within the Legal and Public Affairs department of Booking.com. This is a high impact role for a candidate who is passionate about operational excellence and thrives in a rapidly changing environment. A successful individual will display strong analytical and critical thinking skills and a customer-centric mindset, is self-motivated and possesses strong organizational and financial skills., as well as the ability to work with cross-functional teams. The role balances operational and coordination activities, as well as people management responsibilities and regular engagement with a large diversity of internal and external stakeholders. 

Experience working with Legal teams or a background in Legal is not required but preferred.

Key Job Responsibilities and Duties 

  • Purchase-to-pay activities. Run recurrent purchase-to-pay (P2P) activities for the management of the external spend of the global Legal and Public Affairs team of Booking.com, including purchase order management and invoice management to ensure compliance with billing guidelines and Booking.com policies and processes
  • Data analysis and reporting. Manage regular spend reporting in financial systems (including the Legal Tracker e-billing system), build tailored spend reporting templates to address specific reporting needs,  manage data reconciliations based on various data sources.  
  • Accruals tracking, analysis and reporting. Manage data extraction, validation and processing for periodical accruals reporting. Run comparative accruals analysis, identify and investigate potential discrepancies and report on related confirmations and corrections to Accounting and Financial Planning & Analysis counterparts. Respond to accruals queries and offer related support to internal and external stakeholders. Act as main point of contact for the Accounting and Financial Planning & Analysis teams of Booking.com in relation to accruals reporting for the Legal and Public Affairs team.
  • Process improvement and transformation. Support in the continuous improvement of cross-functional processes, developing and maintaining process documentation, as well as support for the deployment of system enhancements such as system integration capabilities and related change management.
  • Internal stakeholder management. Work with internal stakeholders - including Legal and Public Affairs, Procurement Operations, Accounting, Accounts Payable, Financial Planning and Analysis teams - to align and deliver on financial management objectives, drive beneficial business outcomes and develop cross-functional working relationships. 
  • External stakeholder management. Respond to questions, resolve challenges and offer generalised support to the external vendors of the Legal and Public Affairs team in relation to P2P processes. 
  • People manager responsibilities. Act as initial point of escalation for direct reports, coordinate performance by team members of tasks and responsibilities including task delegation and monitoring of timely delivery. Conduct individual performance reviews and provide continuing feedback to direct reports identifying areas for improvement in productivity or quality, and offering related guidance and support for continuing improvement. Continue to develop, monitor and report performance metrics for the CoE LPA Operations team. Provide guidance and support to direct reports for their personal development and growth in line with business goals, identify key learning opportunities including formal training sessions and workshops.

Role Qualifications and Requirements

  • Experience working in a multinational environment 
  • Experience working with Legal teams or a background in Legal
  • Fluent in written and verbal English
  • Bachelor’s degree in Finance, Economics, Business Administration, or related field
  • 5+ years of experience in financial management and/or business operations and should be familiar with financial management processes such as Accruals, Financial reporting, etc.
  • 3+ years of Microsoft Excel and/or Google Sheets experience (intermediate level of proficiency is mandatory, including Pivot Tables and VLookUps)
  • Data analysis and data visualization skills 
  • Experience with e-billing or financial systems, such as Legal Tracker, SAP, iValua
  • Strong analytical and critical thinking skills, and a data-driven mindset
  • Strong organizational skills and a high degree of attention to detail
  • Ability to communicate clearly and concisely
